Core Duties/Responsibilities



Job Description:

The primary responsibility of the Resource Manager is to manage resourcing for all potential and assigned projects. This position requires that the individual be the liaison between Project Management and Department Heads (Account, Creative, Technology, Strategy, Studio, UX, New Business) as it relates to resourcing across all work. The Resource Manager also works directly with Talent Acquisition and HR to facilitate appropriate staffing on projects across the agency based on aggregate understanding of the project requirements. The Resource Manager must also ensure that project resourcing is managed in order to assure timely delivery and must communicate to appropriate project managers resourcing issues that may impact scheduled deadlines. It is also required that this position enforces agency process by utilizing and requesting that all departments use proper procedures etc when requesting resources.



  • Act as point of contact for resource booking confirmation, conflict resolution, and development of solutions in support of business goals and that is aligned to office finances
  • Manage and resolves resource booking conflicts
  • Run weekly resource meeting and facilitate resourcing issues/conflict resolution with Project Management and appropriate department heads
  • Manage resourcing forecast reports for all departments based on input from weekly meetings.
  • Work with Department Heads to identify appropriate resource requirements for each account and project.
  • Maintain constant knowledge of current and upcoming project and business development activities as they relate to resourcing.
  • Monitor day-to-day project activities and resourcing, identifying potential instances of under-utilization and actively work with department leads to address and solve those issues.
  • Receive, analyze and report on weekly utilization reports to department leads
  • Alert Creative Ops Director of any potential concerns or issues with meeting key client deliverables due to resourcing.
  • Identifies need for freelance talent and works with Talent Acquisition to staff accordingly.
  • Identify potential resourcing or process issues and present to Creative Ops Director with resolutions to such issues where applicable.
  • Recommend process improvements for Resource Management
  • Responsible for managing overall utilization
  • Work to resolve any issues regarding under or over allocations of current staff members.
  • Maintain freelance workforce, including inflow and outflow of freelance resources, and forecasting.



Required Skills/Knowledge/Experience


  • 4-5 years project management experience in advertising/marketing industry
  • Bachelor’s degree required
  • Proficiency in MS office applications including Microsoft excel
  • Assertive conflict-resolution and problem-solving skills
  • Clear and concise communication in both written and verbal form
  • Ability to be diplomatic or firm when necessary in order to drive business forward or obtain results
  • Highly detail oriented and able to work autonomously
  • Ability to manage multiple tasks and tight deadlines with confidence and ease
  • Ability to prioritize and organize workload across New York and Princeton offices.


The ideal candidate must have a Bachelor's Degree and solid experience in relationship management, resource management, and program coordination, preferably in a design firm, agency, or consulting environment. Must have demonstrated the ability to understand project functions, associated skill sets, requirements and work flow. Highly polished collaboration, influence, persuasion, and conflict management skills are a must, along with exceptional verbal/written communication skills. Should be an excellent meeting facilitator. Must be detail-oriented and organized with strong project management and multi-tasking skills, demonstrated in a calm fashion in a hectic cross-office environment. She/he will have experience with technology and systems to support efficient resource allocation.
