About the Role:

The Associate Project Manager, Operations has four (4) primary areas of responsibility (detailed more below):

  1. Setup and data entry/reporting analysis using the Resource/Time tracking system and Dashboard Management Tools –
    • Add new resources/remove inactive resources from tools
    • Manage data in tools (designations for title, manager, etc.)
    • Resource/Time tracking system reporting
      1. Project-level reports
      2. SLA (service level agreement) tracking and contract compliance reports
    • Dashboard Management Tools reporting
      1. Finance reports
      2. Front-end user expert for Operations and other groups
  1. Resource/time tracking system administration –
    • Resource/time tracking system support and monitoring
  2. Agency training –
    • Material (document) preparation and agency-wide training of Resource/Time tracking system
  3. Resource management –
    • Add new positions to the Open Position Report and Accountabilities Chart
    • Update systems of record when resources start or end, and as the result of managerial, role, department changes





  • Data and reporting analysis using the Resource/time tracking system and Dashboard Management Tools –
  • Management of resource records in tools (adding new resources, changing resources to inactive, managing resource data like manager, title, functional role designations)
  • Provide reporting and analysis to Team Leads and Department Managers on hours entered, variances for hours scheduled vs. actual to manage employee workload and maximize utilization
  • Run timesheet compliance reports; communicate findings
  • Provide ad hoc hours, estimate and scheduling reporting as requested
  • Enter time for contractors and freelancers
  • At month-end:
  • Work with the Resource Director and Finance to confirm appropriate billing rates are used per resource, per job and per client in order to prepare proper invoicing
  • Review hours entered by job against each brand to track and trend burn rates
  • Track variance of actual hours compared to projected hours by individual against model
  • Develop and automate SLA (service level agreement) reports and contract compliance reports
  • Become a front-end user expert in Dashboard Management Tools to support the Operations group for ad-hoc report requests


  • Resource/time tracking system administration –
  • Verify that all resource requests are entered accurately and addressed in a timely manner in order to influence high utilization
  • Timesheet management
  • Confirm all time is entered for all billable resources (freelance and permanent employees)
  • Contact resources to ensure that all missing time is recorded; initiate resolutions
  • Review timesheets that have less than 40 hours per week for accuracy; initiate resolutions
  • Review un-submitted time and rejected time; initiate resolutions
  • Ensure accurate and timely project estimates and resource allocations are entered into Resource/time tracking system
  • Manage current and relevant list of technologies and applications via skills list in Resource/time tracking system
  • Work closely with Finance and HR departments and identify opportunities to enhance policies and processes
  • Develop/refine/maintain resource/time tracking system training documentation
  • Support project owners and department heads with ad hoc requests
  • Develop reports in Dashboard Management Tools for projects and contracts


  • Agency training –
  • Prepare and facilitate Resource/time tracking system training sessions to MRM employees (in all departments, at all levels) for timesheet management (new hire time entry training and refresher sessions)


  • Resource management –
  • Add new positions to the Open Position Report and Accountabilities Chart when new resources are required at MRM (full-time, freelance, contract)
  • Work closely with the hiring manager to validate the position need, secure funding approval from Finance, add the position to the Open Position Report and communicate the addition to the HR Business Partner, Recruiting Team and Hiring Manager
  • Manage the Open Position Report – ensuring accuracy and timely updates
  • Manage the Accountabilities Chart – ensure accuracy and timely updates when resources chart, end, and update details while resources are at MRM//McCann. The Accountabilities Chart should be updated daily
  • Manage the status of Contractors and Freelances to ensure accuracy of end dates
  • Secure manager and Finance approvals if Contractors or Freelancers need to be extended
  • Update systems of record for starting resources, ending resources and ongoing resource changes. This includes access to and details in OpenAir, Smartsheet, Egnyte, ApprovePlus/ProofHQ
  • Conduct monthly OpenAir user audits for SOX compliance


Required Skills/Knowledge/Experience


Education and Experience:

  • Minimum 2+ agency or professional services experience
  • Must have 4 year college degree
  • Must have experience with Microsoft Excel and Microsoft Word
  • Must have experience running small projects, problem solving and risk analysis and mitigation
  • Must have the ability to provide leadership and guidance to employees through training and coaching skills
  • Must have strong oral and written communication, analytical, and interpersonal skills
  • Must have excellent multi-tasking and problem-solving skills; thrives in high-volume, deadline-driven environment while paying attention to detail
  • Must have the ability to make decisions, quickly and effectively
  • Ideal to have knowledge of best in class resource planning tools and methodologies
  • Ideal to have experience with time-tracking and reporting tools such as Resource/Time tracking system and Dashboard Management Tools, such as OpenAir, Changepoint (Microsoft), Tableau or similar tool(s)
